("Synth Narrative," "we," "us," or "our") respects your privacy and is committed to protecting personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation. This Privacy Policy explains what personal information we collect when you visit synthnarrative.pro (the "Site"), submit our contact form, communicate with us by email or telephone, or engage us for professional services, and how we use, disclose, retain, and safeguard that information.
By using the Site or providing personal information to us, you acknowledge that you have read this Privacy Policy. Where we require consent under PIPEDA — for example, when you submit the contact form — we obtain it through an explicit checkbox before processing your enquiry. You may withdraw consent for non-essential processing subject to legal or contractual restrictions; withdrawal may limit our ability to respond to your request or deliver services.
This Policy applies to information collected through the Site and general business enquiries. Client engagements involving access to your organization's content corpora, customer data, or proprietary materials are additionally governed by written agreements, data processing addenda, and security schedules that may impose stricter obligations than this general Policy.

3. Information we collect
3.1 Information you provide directly
When you complete our contact form, we collect your name, email address, selected subject category, message content, and confirmation of PIPEDA consent. We do not use pre-checked consent boxes. If you email or call us separately, we collect the information you choose to provide, which may include your name, organization, role, telephone number, and details about a prospective project.
During client engagements, we may collect additional professional contact information, billing details, signed contracts, and — only with explicit authorization — access credentials or content samples required to deliver services. The scope of client data processing is defined in project documentation, not exhaustively listed here.
3.2 Information collected automatically
When you visit the Site, our hosting infrastructure and optional analytics tools (if you consent to analytics cookies) may collect technical data such as IP address, browser type and version, operating system, referring URL, pages viewed, and approximate timestamps. Essential cookies required for site operation and cookie consent storage are described in our Cookie Policy.
We do not knowingly collect sensitive personal information through the public Site contact form. Please do not submit government identity numbers, health information, or payment card data through the general contact form.
3.3 Honeypot and anti-abuse signals
Our contact form includes a hidden honeypot field intended to deter automated spam submissions. If that field is completed, the submission is silently discarded without storing personal information. We may also rely on server logs and rate limiting to protect form endpoints from abuse.
4. How we use personal information
We use personal information for the following purposes, relying on consent, contractual necessity, or legitimate interests as appropriate under PIPEDA:

We do not sell personal information. We do not use contact form data for unrelated direct marketing without a separate opt-in where required by law.
5. Legal basis and consent
Under PIPEDA, organizations must identify purposes before or at the time of collection and obtain meaningful consent when collecting, using, or disclosing personal information. For Site enquiries, purpose and consent are presented at the point of collection via the contact form checkbox linking to this Policy. For client work, purposes are specified in statements of work and master services agreements.
You may request access to the personal information we hold about you and ask us to correct inaccuracies. You may also challenge our compliance with PIPEDA by contacting us first, then the Office of the Privacy Commissioner of Canada if unresolved.
6. Disclosure to third parties
We disclose personal information only as necessary for the purposes described above:
- Service providers: Hosting providers, email delivery services, and optional analytics vendors that process data on our behalf under contractual confidentiality and security obligations;
- Professional advisers: Lawyers, accountants, or insurers when required for compliance or risk management;
- Client project subprocessors: During engagements, inference API providers, cloud storage, or collaboration tools may process client-approved content under documented subprocessor lists;
- Legal requirements: When disclosure is required by law or necessary to protect rights, safety, or property.
Some service providers may store or process data outside Canada. Where cross-border transfers occur, we assess safeguards appropriate to the sensitivity of the information and disclose relevant details in client contracts or upon request for Site enquiries.
7. Retention
Contact form submissions and related correspondence are retained for up to twenty-four months unless a longer period is required to establish a client relationship, resolve disputes, or comply with legal obligations. Cookie consent preferences are stored for six months, after which the cookie banner may reappear. Client project records are retained according to contractual schedules and applicable limitation periods under Ontario law.
When personal information is no longer required, we delete or anonymize it using commercially reasonable methods.
8. Security
We implement administrative, technical, and physical safeguards proportionate to the sensitivity of information processed. Measures include access controls for internal systems, encrypted transport (HTTPS) for the Site, server-side form handling rather than exposing mail credentials in client-side code, and staff training on confidentiality obligations.
No method of transmission or storage is completely secure. While we work to protect personal information, we cannot guarantee absolute security. You are responsible for keeping your email credentials secure when communicating with us.
9. Your rights
Subject to applicable law, you may:
- Request access to personal information we hold about you;
- Request correction of inaccurate or incomplete information;
- Withdraw consent for optional processing such as analytics cookies via the cookie banner or by contacting us;
- Request deletion where we have no overriding legal or contractual reason to retain data;
- Obtain information about our privacy practices and subprocessors relevant to your enquiry or engagement.

10. Children
The Site and our services are directed at business professionals. We do not knowingly collect personal information from individuals under sixteen years of age. If you believe a minor has submitted information to us, contact [email protected] and we will take appropriate steps to delete it.
11. Links to other sites
The Site may link to third-party websites. We are not responsible for the privacy practices of those sites. We encourage you to read their privacy policies before providing personal information.
12. Changes to this Policy
We may update this Privacy Policy to reflect changes in law, technology, or business practices. The effective date at the top indicates the latest revision. Material changes will be posted on this page. Continued use of the Site after changes constitutes acknowledgment of the updated Policy where permitted by law.
